Privacy Policy
Effective November 1, 2026
Road to Prep LLC ("Road to Prep," "we," "us") runs this website and the Road to Prep platform, events and services. This policy explains what we collect, why, who can see it, and the choices you have. Because most of the athletes on Road to Prep are minors, we hold ourselves to a higher standard than most websites.
The short version
- A parent or legal guardian (18 or older) creates and controls every athlete profile.
- Athlete profiles are never public. Only the athlete's family, verified school staff, Road to Prep administrators and approved Road to Prep evaluators can see them, and the family controls whether schools can find a profile at all.
- Schools never see a family's email address or phone number. A parent approves every new school before a conversation starts.
- We don't sell personal information, we don't show third-party ads, and we don't share athlete information for anyone else's marketing. Our public pages use advertising measurement tags (section 5) that never receive athlete information.
- You can see, correct, download or delete your information at any time.
1. Children's privacy and parental consent {#children}
Road to Prep is used by families of students in grades 5 through 12, including children under 13. We do not allow children to create their own accounts. A parent or legal guardian, 18 or older, creates the family account, adds the athlete and enters or approves the athlete's information. By creating a family account and adding an athlete, the parent gives consent for us to collect and use the athlete's information as described in this policy.
What we collect about an athlete (provided by the parent, or by the athlete using the parent's account with the parent's permission): name, sport, position, graduation year, school, club, hometown and state, height and weight, academic information the parent chooses to add (such as GPA or test scores), highlight video, statistics, events attended, and, for event registrations, date of birth, emergency contact and any medical notes the parent provides.
What we do with it: show the profile to the people described in section 3, run events and evaluations, and provide the services the family asks for. We don't use a child's information for advertising, and we never sell it.
Parents' rights: a parent can review the information we hold about their child, change it, stop further collection or use, or ask us to delete it, at any time, from the account or by emailing info@roadtoprep.com. Deleting the profile stops schools from seeing it.
If we learn that a child created an account without a parent, we will delete it.
2. What we collect
Account information: name, email address, password (stored securely by our authentication provider, never visible to us), account type, and for school staff, your school, title and work email.
Athlete profile information: the information described in section 1, plus endorsements from coaches the family invites and the family's privacy choices.
Event registration information: player details, questions on the registration form, emergency contact, medical notes, waiver signature, and what you purchased.
Messages: conversations between families and schools on Road to Prep, including replies sent by email.
Payments: handled by Stripe. We receive the payment status and the last four digits of the card, never the full card number.
Usage information: basic records needed to run the service, such as which schools viewed a profile, sign-in times, how you found us (for example, a link from an event page), and technical logs kept by our hosting providers for security.
Evaluations: ratings, notes and reports written by Road to Prep evaluators.
3. Who can see athlete information
- The family: parents and guardians on the account, including co-parents the family invites.
- Verified school staff: coaches and admissions staff at schools, after Road to Prep verifies them, and only if the family has made the profile visible to schools. Families decide whether schools can see GPA, test scores and financial aid interest. School staff agree to our School User Agreement.
- Road to Prep evaluators: staff and approved partners who evaluate players at our events or from film the family submits, under our Evaluator Agreement.
- Road to Prep administrators: to run the service and help you.
- The public: only what you choose. If a parent opts in, an athlete's name, position, club and state can appear in public rankings. Public event pages show only how many players are attending, never names. See our Evaluations and Rankings Policy.
Profiles never appear in search engines.
4. How we use information
To run the platform; connect families and schools; operate events (registration, check-in, safety); provide evaluations, rankings and the Academy; process payments; send the emails you'd expect (account, registration, message and evaluation notices); prevent fraud and abuse; and improve Road to Prep. We may send occasional updates about Road to Prep events and services; you can unsubscribe from those at any time.
5. Service providers we share with
We share information only with companies that help us run Road to Prep, under contracts that limit their use of it: Supabase (database and sign-in), Vercel (website hosting), Stripe (payments), Postmark (email delivery), Cloudflare (video hosting), and, if you link video from them, YouTube, Vimeo or Hudl. On our public pages only (the homepage, School Finder, sign-up, evaluation, for-schools and event registration pages), we use the Meta Pixel and, where enabled, the Google tag to measure whether our own ads lead to sign-ups and registrations. These tags see the page address and a cookie identifier, and an event name such as "account created". They never run on signed-in pages, athlete profiles or rankings, and we never send them names, email addresses or any athlete information. You can opt out with your browser's cookie or tracking settings, or through Meta's and Google's ad settings. We may also disclose information if the law requires it, to protect the safety of a child or anyone else, or as part of a sale or merger of our business (in which case this policy continues to apply to your information).
6. Photos and video at events
Our events are photographed and filmed. How we use that footage, and the Media Pass, are explained in our Photo, Video and Media Pass Policy.
7. Your choices and rights
- Edit or delete: update a profile any time, or delete it from your account or by emailing info@roadtoprep.com.
- Visibility: turn off "visible to schools," hide GPA, test scores and aid interest, and opt in or out of public rankings.
- Copy of your data: email us and we'll send it within 30 days.
- Emails: change notification settings in Membership, and unsubscribe from promotional emails with the link in each email. We'll still send emails you need, such as receipts and security notices.
- State privacy rights: depending on where you live, you may have additional rights to know, correct, delete or limit the use of your information. Email us to use them. We won't treat you differently for doing so.
We'll verify requests by confirming them from the email address on the account.
8. How long we keep information
We keep information while your account is active. If you delete a profile, we remove it from the platform right away; copies in our providers' backups are overwritten on a rolling schedule. We keep some records longer when we need them for legal, tax, safety or dispute reasons, such as signed waivers and payment records. Medical notes and emergency contacts from event registrations are seen only by event staff and are removed when no longer needed for the event.
9. Security
We use encryption in transit, strict access controls that limit who can see each piece of information, and trusted providers. No system is perfect. If a security incident affects your information, we will notify you and any authorities as the law requires, without unreasonable delay.
10. Changes
If we make important changes, we'll post the new policy here with a new effective date and notify account holders by email or on the site.
